Two nodes talk to HubSpot, on the free tier or above:
  • CRM lookup (during call) under Tools: look up a caller, save their details, add a note while talking.
  • CRM sync (after call) under Post Processing: save the caller as a contact and attach the conversation as a note, automatically.
Both need a HubSpot private app token. See Keys.

Before you start

  1. In HubSpot, go to Settings, Integrations, Private Apps and create an app.
  2. Give it contact read and write scopes. Lookup-only needs read.
  3. Copy the token. Paste it under HubSpot in the builder’s Settings panel, unless your workspace already covers it.

During the call: CRM lookup

  1. Open Components and click CRM lookup (during call) under Tools.
  2. Connect its output dot to the Persona, or to one Skill.
What the agent can do:
  • Look up a caller by name, email or phone and greet them by name.
  • Save a new or updated contact. Only details the caller gave are written. Blank values never overwrite existing data.
  • Add a note to the contact, for example a promise made during the call.
With Allow Writes off, the agent has no way to change your CRM. Use that for verification-only agents.

After the call: CRM sync

  1. Open Components and click CRM sync (after call) under Post Processing.
  2. Connect End to it so the transcript is included.
  3. Add a Structured Output node after End that extracts the caller’s email, and connect its output to the CRM sync node. That is how the contact is matched.
If no email can be found, the sync is skipped and the call is otherwise unaffected.

Use cases

  • Support agents that greet repeat callers by name.
  • Intake lines that capture name, email and phone into the CRM mid-call.
  • A note on the record for every commitment the agent made.
  • A full transcript on the contact after every call, with no tool calls during the conversation.
